Choosing a Station

Before staff can start to summon students in CEC, they need to choose a Station. This is found in the top right next to the clock. By default, the station name will be sent through an SMS to guide the student when they are summoned. 

Before Summoning

When a student is in line, users will have the option to either summon them, edit their visit, or cancel their visit. Clicking on the student will bring up information about the visit on the right-hand side. The three dots will then allow users to either edit the details about the visit or cancel the visit altogether. 


When cancelling a visit, users have the option to write a reason for why it was cancelled. 

To summon the first student in line, users should click the blue Summon next button. If it is necessary to summon a student out of order, users must first select the student and then click the blue Summon button.

 

After Summoning

Once the student is summoned, they will be given time to arrive to be served. The current time given is 5 minutes, but this is configurable by an Admin user. Details about the visit can still be edited at this time, but they can no longer be cancelled. 

 

While staff is waiting for the summoned student, they have several options:

 

  • Start serving. This indicates to the system that the student is here and being served.
  • Summon them again. This will resend the summoned text message to the student.
  • Mark them as a no-show manually.


 

The student is automatically marked as Late and moved to the end of the waitlist. In case this student comes back to the station where it was summoned it is possible to start the service right away.

 

Late students can be served right away. If the student doesn’t show up after another period of time, also configurable by admins, the student will be removed from the waitlist. The student will be marked as a No-show.

 

Once the Start Serving button is clicked a timer will start, and you can keep track of how long the service with that student lasts. The timer ends when the End service button is pressed. 

 

After Service

When the End service button is pressed, there will be a prompt that will ask the user for information for reporting purposes. In case that multiple services were provided, you can click the dropdown to select the different services.
 

 

 

In case that no service was completed, click the No toggle, and add a reason of why no service was provided.
